Keeping Napkins in Place: Smart Table Setting Tips for Your Outdoor Wedding

One of the charming things about an outdoor or open-air wedding is the natural setting — gentle breezes, mountain views, and that relaxed, rustic elegance that so many couples love. But that same gentle breeze can become a bit of a challenge when it comes to table settings!

After years of hosting weddings at Agua Linda Farm, I’ve seen what works (and what definitely doesn’t) when it comes to napkins staying put on the table. Paper napkins are especially vulnerable to blowing away, but even cloth ones can end up on the ground with most popular folds.

Luckily, with a little planning and creativity, you can keep your napkins in place and make them part of your beautiful table design. Continue reading for some tips, inspirational photos and a how-to video link.

1. Folds That Add Weight and Style

Certain napkin folds naturally make the cloth more dense and less likely to take flight. A few of my favorites:

  • The Knot Fold – This one is popular right now and perfect for rustic or boho weddings. Simply tie the napkin in a loose knot and place it in the center of the plate or slightly off to the side. It looks casual yet elegant, and it stays put.

  • The Rose Fold – Twisting and tucking a napkin into the shape of a rose not only adds texture and charm but also gives it some weight, helping it resist the breeze. How-to video here.

If you’re short on setup time, folds like the knot or utensil roll can be prepared days in advance and quickly placed on tables the day of your wedding.

2. Weighting Napkins with Favors or Name Cards

Another great way to keep napkins in place is to use what’s already part of your décor — favors or heavy name cards!

  • Tile or Stone Name Cards – These have become very trendy, especially in outdoor settings. They add a personalized touch and naturally weigh down your napkins.

  • Small Favor Boxes or Jars – A mini jar of local honey, a gift in a box, or any other small keepsake can double as décor and a napkin weight.

This approach keeps your design cohesive and functional — a win-win.

3. Weighting Napkins with Utensils

Utensils are another handy tool (literally!) for keeping napkins grounded. Try these setups:

  • Pocket Fold – Fold the napkin to create a pocket that holds the fork, knife, and spoon. It’s tidy, elegant, and practical.

  • The “Burrito” Roll – Roll the utensils inside the napkin like a little burrito and secure with twine, ribbon, or a napkin ring. This method works especially well for more casual or rustic receptions — and you can assemble them well ahead of time.

Both of these methods make setting the tables quick and easy, especially if you’re doing a DIY setup.

4. Classic Napkin Rings — Store-Bought or DIY

Don’t overlook the traditional napkin ring — it’s classic for a reason! Napkin rings add a touch of polish and, more importantly, help weigh napkins down against a breeze. You can:

  • Purchase or rent  rings that complement your color palette or theme.

  • Create your own with twine, ribbon, or strips of fabric.

  • Incorporate nature by crafting small “rings” out of wire and greenery, such as a mini-wreath made of olive leaves, rosemary, or eucalyptus.

This option gives you endless ways to customize your table design while keeping everything secure and stylish.

5. Layering with Plates

If you’re using chargers, salad plates, or pre-set dinner plates, you can layer your napkin beneath one of them to keep it in place.

Here are a few options:

  • Under the Dinner Plate – Fold the napkin neatly and place it under the dinner plate with a bit showing for a pop of color.

  • Between Plates – If you’re serving a plated salad, you can tuck the napkin between the salad and dinner plate.

This look feels refined and ensures the napkin stays put.

NOTE: If your meal is plated, there will not be plates pre-set at tables. If the plates are already on the table, guests can carry their plate to a buffet or serve themselves family-style — which means large bowls of salad, baskets of bread, and platters of entrées are brought to each table for guests to pass and serve themselves.

Having a clear plan for this setup will make the service flow much smoother.

6. Think About Timing and Who’s Helping

The “burrito roll” and knot folds can be prepared days in advance, while layered napkins under plates needs to happen last-minute. Think through your schedule and who will be responsible:

  • Will your caterer handle table settings? Don't assume - ask. There may be additional fees.

  • Do you have staff or helpers for setup?

  • Or are you opting for a DIY setup with family and friends?

Some venues (like mine!) include napkins in the rental fees, but always double-check what’s provided and who will be handling the setup.

With a bit of planning and creativity, you can have a table that’s both beautiful and breeze-proof!
